Last updated: 2 August 2026 (ultimo aggiornamento: 2 agosto 2026) · License CC BY 4.0 · DOI 10.5281/zenodo.21541001

The median reply rate of B2B cold email in Italy is 1.71%, measured on 556 campaigns with at least 500 sends, from an open dataset of 723 real campaigns and almost 3.7 million emails (2024-2026). Vertical campaigns tied to a regulatory deadline reach 5-6% replies; generic multi-sector campaigns stop at 1.1%.

This page is the English edition of the data published by the Osservatorio Cold Email Italia (Outbound Italy Index). The full reports are in Italian: Indice Outbound Italia, benchmark 2026 andreply rate by sector. The dataset itself is language-independent.

How to read and use these statistics

Every number on this page comes from one source: the Osservatorio Cold Email Italia, the open dataset behind the Outbound Italy Index. It covers 723 real B2B cold email campaigns managed in Italy between 2024 and 2026, for 3,685,033 emails sent and 70,771 human replies received. Percentile statistics are computed on the 556 campaigns with at least 500 sends each, because below that threshold a single reply moves the percentage too much to be meaningful. Sector benchmarks use the 507 campaigns mapped to a sender industry with certainty, for 2.63 million emails. Each statistic below is self-contained: it states its own base of calculation and can be quoted without reading the rest of the page. The dataset is published under a CC BY 4.0 license with a permanent DOI, so every figure can be verified, recalculated and cited in articles, reports and academic work with attribution.

Headline numbers

The five numbers that define the state of B2B cold email in Italy in 2026, from the largest Italian dataset published with a declared methodology.

  1. #11.71%

Median reply rate of B2B cold email in Italy

Half of Italian B2B cold email campaigns get more than 1.71% replies, half get less. The median is computed on the 556 campaigns with at least 500 emails sent, from a dataset of 723 real campaigns run between 2024 and 2026. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  2. #21.92%

Weighted average reply rate (total replies divided by total emails)

Across the full dataset, 70,771 replies over 3,685,033 emails give a weighted average reply rate of 1.92%. The median (1.71%) is the more honest benchmark, because it is not distorted by a few very large campaigns. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  3. #3723

B2B cold email campaigns in the dataset

The dataset behind these statistics covers 723 real B2B cold email campaigns managed in Italy between 2024 and 2026, across dozens of industries, with anonymized clients and an open CC BY 4.0 license. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  4. #43,685,033

Cold emails sent in the dataset

Almost 3.7 million cold emails sent from 2024 to 2026, all plain text and without tracking pixels, at volumes of up to 1,000 emails per day per client. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  5. #570,771

    Human replies recorded

Reply rate is defined as unique human replies divided by emails sent. Automatic replies, out of office messages and bounces are excluded from the count. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  6. #6556

Campaigns with at least 500 sends, used for percentile statistics

Percentiles are calculated only on the 556 campaigns with at least 500 emails sent (3,651,304 emails in total), because below that threshold a single reply moves the percentage disproportionately. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

The distribution: where campaigns actually land

The median alone says little. What describes the Italian outbound market is the spread: between the 10th and the 90th percentile there is a factor of six, with the same sending infrastructure and the same tools.

  1. #70.60%

10th percentile of the reply rate distribution

The worst 10% of Italian B2B cold email campaigns stay below 0.60% replies. Base: 556 campaigns with at least 500 sends. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  2. #81.05%

25th percentile: one campaign in four stays below this

A quarter of Italian campaigns get less than 1.05% replies. In almost every case the cause sits before the send: list quality or message relevance, not the sending platform. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  3. #92.59%

75th percentile: the threshold of the top quarter

Only one Italian B2B cold email campaign in four gets more than 2.59% replies. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  4. #103.80%

90th percentile: the threshold of the top 10%

The best 10% of campaigns exceed 3.80% replies. Between the 10th percentile (0.60%) and the 90th (3.80%) there is a factor of about six, with the same infrastructure. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  5. #116x

Spread between the worst and the best decile of campaigns

Between the 10th percentile (0.60%) and the 90th (3.80%) of the Italian reply rate distribution there is a factor of about six, with the same sending infrastructure and the same tools. The reply rate does not measure the platform: it measures how in-target the list is and how relevant the message is to the person receiving it. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  6. #1224.3%

Share of campaigns below 1% reply rate

135 of the 556 campaigns in the statistical base (24.3%) stay below 1% replies. A reply rate under 1% is almost always a list or relevance problem, not a deliverability problem. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  7. #1317.6%

Share of campaigns above 3% reply rate

98 campaigns out of 556 (17.6%) exceed 3% replies, the threshold above which a campaign is clearly above the Italian norm. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  8. #143.1%

Share of campaigns above 5% reply rate, all of them vertical

Only 17 campaigns out of 556 (3.1%) exceed 5% replies, and none of them is a generic multi-sector campaign: all are narrow vertical campaigns with a specific reason to write now. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

Benchmarks by campaign type

The single strongest predictor of reply rate in the Italian dataset is not the tool or the sender: it is whether the campaign is vertical and whether it has an external reason to exist now, such as a regulatory deadline.

  1. #155-6%

Reply rate of vertical campaigns tied to a regulatory deadline

The maximum recorded in the dataset: campaigns anchored to a real external deadline (sector compliance dates, expiring incentives, obligations with a date) reach 5-6% human replies. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  2. #164.6%

Reply rate of procurement campaigns in industrial verticals

"We would like to become your supplier" speaks to an always-on need: purchasing departments evaluate suppliers as part of their job. These campaigns returned 4.6% replies in industrial verticals. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  3. #172-3%

Reply rate of re-engagement campaigns on already-contacted lists

Non-responders are not dead. Contacted again with a new angle (not a reminder), lists that had already been worked return 2-3% replies. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  4. #181.1%

Reply rate of generic multi-sector campaigns

The same volume, without verticalization and without a "why now": 1.1% replies. This is the benchmark for undifferentiated cold email in Italy. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  5. #194-5x

How much a vertical campaign outperforms a generic one

At equal list quality and infrastructure, a vertical campaign with a reason to write now returns 4 to 5 times the replies of a generic multi-sector campaign (5-6% versus 1.1%). Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  6. #206

Re-engagement cycles per year a well-targeted list can sustain

A list that is genuinely in target is worth at least 6 contact cycles per year, each with a different angle. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

Benchmarks by sender industry

The industry is the one of the company sending the emails. Only sectors with at least 3 campaigns, 5,000 emails and 3 distinct client companies are published, so no sector figure can coincide with a single company. Values are weighted averages: total replies divided by total emails.

  1. #212.16%

Reply rate of marketing and agency senders, the most responsive sector

The most tested sector of the dataset and the most reactive: 2.16% replies on 160 campaigns and 1,089,768 emails from 10 distinct companies, above the overall weighted average of 1.92%. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  2. #222.05%

Reply rate of manufacturing and mechanical engineering senders

Second in the ranking: 2.05% on 75 campaigns, 141,700 emails and 9 companies. Manufacturing lists are narrow by nature, and verticality pays. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  3. #231.77%

Reply rate of software and IT senders

The most crowded market in Italian inboxes closes at 1.77% on 94 campaigns, 481,228 emails and 13 companies, slightly below the overall average. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  4. #241.75%

Reply rate of energy and incentive-related senders

Few but very large campaigns: 1.75% on 36 campaigns, 448,831 emails and 4 companies, with the widest internal spread of the dataset. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  5. #251.38%

Reply rate of training and education senders

Below average at 1.38% on 73 campaigns and 315,026 emails from 7 companies. Training offers rarely carry an external deadline, so they lack a structural "why now". Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  6. #260.89%

Reply rate of fintech and welfare senders, the only sector below 1%

Payments, financial services and corporate welfare face the highest distrust in cold outreach: 0.89% on 41 campaigns, 95,130 emails and 4 companies. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  7. #27507

Campaigns mapped to a sector with certainty

Sector benchmarks are computed on the 507 campaigns (out of 723) that could be mapped to a sender industry with certainty, for 2.63 million emails. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  8. #28<2,000

Average emails per campaign in manufacturing

Manufacturing campaigns average fewer than 2,000 emails each, the smallest of the dataset: narrow lists, high relevance, second-best reply rate (2.05%). Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  9. #29>12,000

Average emails per campaign in the energy sector, the largest of the dataset

Energy and incentive campaigns average more than 12,000 emails each. Their aggregate 1.75% hides a wide internal spread between campaigns well above and well below the benchmark. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

Deliverability and operations

Reference numbers to tell whether a campaign problem sits before or after the inbox: bounce, opens, volumes and the timeline from setup to the first booked meetings.

  1. #301.85%

Median bounce rate of Italian B2B cold email campaigns

Above 3% bounce it pays to stop sending and clean the list: high bounce rates degrade domain reputation and drag down the delivery of every following campaign. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  2. #3126.3%

Median open rate, reported with its real sample size

Open data is available for only 261 of the 556 campaigns in the base, so this figure deserves more caution than the others. Opens are also increasingly unreliable as a metric, because privacy systems preload images. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  3. #3260-87%

Open rates on purpose-built lists with dedicated sending infrastructure

With twin domains, warm-up and verified lists, open rates sit between 60% and 87%, against a market average of 50-60%. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  4. #331,000

Maximum cold emails per day per client in the dataset

All campaigns in the dataset were sent in plain text, without tracking pixels, at volumes of up to 1,000 emails per day per client. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  5. #3430-45

Days of technical setup and warm-up before full sending volume

Dedicated domains and mailboxes need 30-45 days of setup and warm-up before a campaign can run at full volume without deliverability damage. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  6. #352nd-4th

Week of sending in which the first appointments typically arrive

After the 30-45 day technical setup, the first booked meetings typically arrive between the second and the fourth week of sending, with a stable flow from the third month. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

Market context: the Italian B2B acquisition landscape

Numbers from Clientium operational data that frame why cold email exists as a channel in Italy: how appointments convert into meetings held, what the alternative costs, and how Italian SMEs actually acquire clients today.

  1. #3687%

Show rate of qualified B2B appointments with written criteria and reminders

With qualification against written criteria and pre-meeting reminders, 87% of booked B2B appointments actually show up, against a market average of around 60%. Measured on more than 6,000 appointments. Source: Clientium operational data, published in the Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  2. #3773%

Share of Italian B2B SMEs that depend mainly on word of mouth

Almost 3 companies out of 4 do not control their flow of new clients; only 12% have a structured acquisition system. Source: Clientium operational data, published in the Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  3. #38€30-40,000

Annual company cost of a junior SDR in Italy

Salary plus contributions, before adding €3-6,000 per year of tools and data and a ramp-up of 3-6 months. This is the benchmark against which any B2B acquisition channel should be compared. Source: Clientium operational data, published in the Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  4. #39€100,000+

Typical annual opportunity cost of waiting passively for clients

For a B2B company with an average deal of €15,000 growing on word of mouth alone, the contracts not generated often exceed €100,000 per year. Source: Clientium operational data, published in the Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

  5. #40116

Comparable subject lines in the dataset: too few for a ranking, so none is published

The dataset contains the subject line of every campaign, but only 116 of the 556 base campaigns are comparable, and the differences between groups fall within statistical noise. Publishing a subject-line ranking on that base would produce a quotable but false number, so the H1 2026 edition does not include one. Source: Osservatorio Cold Email Italia / Outbound Italy Index, H1 2026.

Methodology

Dataset. 723 B2B cold email campaigns managed by Clientium in Italy between 2024 and 2026, for 3,685,033 emails sent (almost 3.7 million) and 70,771 replies received. All sends in plain text, without tracking pixels, at up to 1,000 emails per day per client.

Percentile base. The 556 campaigns with at least 500 sends, for 3,651,304 emails. Smaller campaigns stay in the dataset but out of the percentile statistics, because a single reply would move their percentage disproportionately.

Definitions. Reply rate equals unique human replies divided by emails sent; automatic replies, out of office messages and bounces are excluded. The median is the central value of the campaign distribution, not an average of percentages. The weighted average is total replies divided by total emails.

Sector benchmarks. Computed on the 507 campaigns mapped to a sender industry with certainty (2.63 million emails). Only sectors with at least 3 campaigns, 5,000 emails and 3 distinct client companies are published, so no sector figure can coincide with a single company. Clients are anonymized throughout.

Declared limits. This is the sample of a single operator: it reflects one method of work and the sectors of its clients, and it is not a representative survey of the whole Italian outbound market. It is, to our knowledge, the largest Italian sample published with a declared methodology: the benchmarks usually cited in Italy are almost always American data.
